Vacation Rental Policies and Procedures

 

Vacation Rental Property Booking Procedure

               All vacation rentals may be booked by calling our experienced Rental Manager at 518-359-9797 or contact us,  Our online calendars for all properties are up to date.  Once owners are contacted and all dates are confirmed we will mail/e-mail you a copy of your rental Agreement and Owners welcome letter for your signature.

PAYMENTS:

Personal checks, company checks, cashier checks and money orders are accepted.  All checks should be made payable to Gillis Realty, Inc.

A 50% rental deposit is due within FOURTEEN (14) days from the date of lease.  Cleaning fees and security deposits will be included in your rental Fee.  Final payments are due within 30 days of check-in. Any bookings made within 30 days of check-in require payment in full.

There is a 5% Franklin County tax that will be added to the total rental fee.

SECURITY DEPOSITS:

The release of your security deposit will be subject to inspection of the property for damages and cleanliness by the owner or a representative and may be held for up to sixty (60) days following your departure date.  The security deposit may be used for repairs to the property, extraordinary cleaning, excessive trash, cable charges and long distance phone charges caused by tenant (unless included on lease).

CANCELLATION:

After a rental agreement is signed, and any payment(s) due are received by our office, requests for cancellation for ANY REASON are NOT REFUNDED unless we are able to re-rent the property with owner’s permission for the same week stated on the lease.  Every effort will be made to re-rent the property, but we cannot guarantee success. If you cancel after sending the initial deposit, but before making the final payment, the full amount of the Rental Agreement remains due and payable unless the week is re-rented.  If we are able to re-book your week(s), a full refund of payment is sent when that new booking is paid in full.

OCCUPANCY:

Occupancy (including small children, infants and overnight visitors) is not to exceed the number on the Rental Agreement.  If more than the maximum number is found to occupy the leased property, the Rental may be immediately terminated without refund and the security deposit forfeited. This includes maximum vehicle parking on the property. You may park extra cars, boats, boat trailers, ATV’s at the State Boat launch area about ½ mile down the road. Do not park or drive on lawns.

LINENS:

Please refer to the property description for detailed information regarding Linens and bed sizes, or call our office.  ALL OWNERS supply, pillows and blankets/comforters.

PETS:

Sorry, pets are not allowed unless specifically noted in the description.  Guests are subject to eviction without refund and loss of security deposit if pets are found on the premises.

SMOKING:

NO SMOKING in any property.  Any guest found smoking is subject to immediate eviction without refund and loss of security deposit.

CLEANING:

The tenant agrees to leave the premises clean and neat, free of all food in the refrigerator and appliances, and ready for immediate occupancy by subsequent tenant.  Remember to leave furniture & beds as found.

Trash must be removed upon departure and put in containers provided by owners.  Trash days are posted in the owners welcome letter and at the property.

On departure the premises will be neat, free of all food, trash, and broom swept.  A cleaner will arrive after your departure for the next occupants.  No extraordinary cleaning should be left as there is a short window of time before the next arrival.

CHECK-IN:

Tenants may check in after 3:00 p.m. on the date of occupancy. You will be mailed or e-mailed directions to our office prior to arrival.

Any damages or conditions found in your rental should be reported IMMEDIATELY to Rental Manager within (1) hour.  There is a phone number in your welcome packed if any emergencies arise during your stay. 

Any immediate assistance needed, any emergency number is provided in your welcome packet.

CHECK-OUT:

Tenants must check out by 10:00 a.m. on departure date, as stated on the lease.  Please refer to your lease.  If you are still there when the cleaners arrive there will be a $25.00 fee kept out of your security deposit.

KEYS:

If property keys are lost you will be charged a $25.00 key replacement fee (this will be deducted from your security deposit). 

MISCELLANEOUS:

DO NOT bring lawn furniture, propane tanks, kitchen bowls, trash or any other items from one property to another.

Gillis Realty, Inc. is not responsible for any lost, stolen or forgotten personal items.  Please make sure you check the property thoroughly for items under beds, chargers in outlets, etc….before departing. We will do our best to return anything that has been forgotten.

RESPECT YOUR NEIGHBORS:

These are residential neighborhoods.  Do not trespass on the neighbors property.  Stay on your own property.  QUIET TIME IS BETWEEN 10:00 P.M. AND 9:00 A.M.  ABSOLUTELY NO FIREWORKS!!  If Gillis Realty, Inc. receives a complaint or law enforcement is called, you will be required to vacate immediately without any reimbursement of your rental fee.
